HOURTOBILL
Time tracking software for consultants

Stop reconstructing your month from memory.

On the 30th you open a blank invoice and try to remember what you did on the 8th. You round down, because you’d rather lose an hour than argue about one. That’s the leak.

HourToBill is a timer with a client attached to it. Start it, stop it, forget it. At month end it hands you a PDF invoice with every hour itemised, dated and described. Not a CSV. The invoice.

No card. One plan, $12 a month after the trial. No seats, no tiers, no sales call.

Go on, press stop. It is the real thing.

How it works

Three actions. The third one happens without you.

  1. 01

Start a timer against a client

Pick the client, type one line about what you’re doing, hit start. Your rate is already on the client, so the money is being counted while you work.

  2. 02

Stop it when the call ends

The entry lands in the month with its date, duration and description. Edit it if you forgot to stop. That’s the entire day-to-day surface of the product.

  3. 03

    Month end, it’s a PDF

Every entry becomes a line on the invoice — date, description, hours, rate, amount — with your details, their details and a total. Download it, send it, get paid.

The output

The invoice is the product.

Clockify is free and it is a good tracker. Toggl is better. Both of them, at the end of the month, hand you a CSV and wish you luck. That CSV is the hour of work you were trying to avoid, and it is where hours get rounded down.

Here the invoice is the reason the timer exists. Every entry is written as if a client will read it, because one will.

Itemised hours end the “what exactly am I paying for” email before it’s sent. That’s worth more than the hour you round down.

Project management software for consultants

You are one person. You do not need a Gantt chart.

Search for project management software for consultants and you get tools built for agencies of thirty: task boards, dependencies, capacity planning, approval flows, a client portal nobody logs into. Every one of those features exists to coordinate people who can’t just ask each other. You can ask yourself.

What a solo consultant actually needs to manage is the gap between work done and money received. HourToBill manages exactly that gap and refuses everything else. The list below is not a roadmap. It’s a commitment.

In the product
  • A timer you start against a client
  • Manual entries for the hours you forgot to time
  • Per-client hourly rate, currency and payment terms
  • Billing increments of 6, 15, 30 or 60 minutes
  • A running total of what is unbilled
  • A PDF invoice with every hour itemised
  • Your own logo on the invoice
  • CSV export of every entry and every invoice
  • Your own payment link on the invoice, so clients can pay in one click
Never going in it
  • Task boards, subtasks, dependencies
  • Team members, seats, permissions
  • Client portals nobody logs into
  • Capacity planning and utilisation targets
  • A deal pipeline with stages and a forecast
  • Email sequences and follow-up nudges
  • An upgrade prompt on the feature you need
CRM for consultants

A client list, not a pipeline.

A CRM assumes you have a funnel: leads, stages, follow-up sequences, a forecast. Solo consultants mostly don’t. Work arrives through people who already know you, and the “pipeline” is two conversations you’re perfectly capable of remembering.

So HourToBill keeps the only part of a CRM that earns its keep: the client record. Name, contact, address for the invoice, hourly rate, payment terms, and the full history of every hour you’ve ever billed them.

If you need lead scoring, you’ve outgrown this product, and that’s fine. Nothing here will nag you to upgrade.

One plan, because there’s one product.

No free tier that hides the invoice behind an upgrade. No per-client limit that punishes a good month. If one recovered hour a month covers it, the maths is not complicated.

Questions consultants actually ask

Before you buy.

Is this for teams?

No. One account is one person tracking their own hours. There are no seats, no approvals and no team reporting, which is why the whole product fits on two screens.

What if I forget to start the timer?

Add the entry by hand on the same screen. Type the duration as 1:30, 90m, 1h 30m or 1.5 and all four are read the same way.

Can I edit an invoice after I create it?

You can edit a draft. Once it is marked sent the lines are locked, because that is the document your client already has. Void it and issue a new one if something was wrong.

Do you take a percentage of my invoices?

No. The PDF carries your own payment details and your client pays you directly. None of your fee passes through us.

What happens to my data if I stop paying?

Nothing is deleted. You keep read access to every client, entry and invoice, and you can still download every invoice PDF and export the lot as CSV.

Can I import from Toggl or Harvest?

Not yet. Most people start clean at the beginning of a month and leave the old history where it is.

Your hours are already worked. Go and bill them.
